Manage Board Minutes & Agenda

Upload the Files


Before you start, create separate PDF files containing the agenda and minutes. Name the file using the naming convention YYYYMMDD-GSD-Board-Agenda.pdf and YYYYMMDD-GSD-Board-Minutes.pdf.


Example: Minutes and Agenda files for September 9, 2014 should have the following names
  • 20140909-GSD-Board-Agenda.pdf
  • 20140909-GSD-Board-Minutes.pdf
  1. In the School Board Section Workspace, click the Tools tab.
  2. Click the Files & Folders tool. A new Files & Folders window will appear.
  3. In the left navigation expand Site Files, then click 20xx-20xy (where 20xx-20xy represents the current school year).
  4. Click Upload, browse to the agenda/minutes, and upload the file.

Save a Link to the Uploaded File

  1. Locate the file that was just uploaded.
  2. In the Actions column click the More button, then click Get Link.
  3. Highlight the text in the Relative Web Address box, and copy it to another location for later use. The text that you copy will look similar to “/cms/lib/WA01918991/Centricity/domain/34/2014-2015/20140909-GSD-Board-Agenda.pdf”. This URL will be referred to as FILELINK below.

Publish a Link to the Uploaded File

  1. In the School Board Section Workspace, click the Tools tab.
  2. On the Tools tab click Minibase.
  3. Under App Instances, click Board Agendas & Minutes.
  4. Under Details, click Edit.
  5. In the Board Agendas & Minutes Minibase, click New Record.
  • Year: Enter the 4-digit year (e.g. “2017”)
  • Month: Enter the 2-digit year (e.g. “03” for March)
  • Day: Enter the 2-digit day (e.g. “02” for the 2nd)
  • Agenda: Enter <a href='FILELINK'target=_blank> view </a> - where FILELINK is the URL for the uploaded Agenda file (see above).
  • Minutes: Enter <a href='FILELINK'target=_blank> view </a> - where FILELINK is the URL for the uploaded Minutes file (see above).
