Inventory Step 1:
Print the Required Paperwork
Print a Classroom Asset List
- Log in to the District Helpdesk.
- In the center pane, locate the Inventory section. You will see a list of the classrooms to which you have been assigned. If you do not see your classroom listed, please email Jessie Espinoza
- To view the assets in a room, click the number in the Assets column.
- An asset list for the room will appear. Print this list before continuing.
Print an Electronic Inventory Log Sheet
- Download and print the Electronic Inventory Log Sheet.
Inventory Step 2:
Check-In / Check-Out Procedure
- Using the paperwork you just printed, verify each item's GSD number AND serial number. Place a check mark next to each item after confirming its presence in the classroom.
- If an item...
- IS LISTED BUT DOES NOT HAVE A GSD ASSET NUMBER - acquire a new tag number from the building secretary, attach it to the item, and write the new asset number on the Electronic Inventory Log Sheet.
- IS NOT IN THE ROOM - write the actual location of the asset on the Electronic Inventory Log Sheet if known. Otherwise, work with the principal to come to a resolution.
- IS IN THE ROOM BUT NOT LISTED - add it to the Electronic Inventory Log Sheet. If the item does not have a tag, acquire one from the building secretary and complete all fields on the Electronic Inventory Log Sheet.
- NEEDS TO BE SURPLUSSED - indicate that on the Electronic Inventory Log Sheet notify the principal and the building secretary. The principal will send a memo and the signed Electronic Inventory Log Sheet, listing all items for possible surplus, to Brad Shreeve. Before an item is surplussed the other buildings will be given a chance to acquire it.
- Staple the classroom asset list to the Electronic Inventory Log Sheet.
- Sign and date the Electronic Inventory Log Sheet and return it to the building principal.
- Repeat this process for all rooms to which you are assigned.
- Building secretaries will submit all completed forms to Jessie Espinoza at the District office.
